Every AI conversation I walk into starts the same way. "What tool should we be using?" Or "Should we be on ChatGPT or Claude?" Or "We tried it and it didn't really stick."
I hear some version of this almost every week now, from business owners across different industries, different sizes, different levels of comfort with technology. The surface question changes slightly, but underneath it's always the same thing: "I don't know where to start and I don't want to say that out loud."
I get it. There's a lot of noise right now. Everybody has an opinion, most of it sounds like a sales pitch, and the people who actually need help are too busy running their business to sit through another webinar. The coverage is either breathless hype or vague reassurance that AI will "transform everything." Neither one helps a business owner who just needs to know what to do on Monday morning.
The tool question feels safe because it's concrete. It has an answer. ChatGPT, Claude, Gemini, pick one. But picking a tool before understanding the problem is like buying paint before you know what room you're renovating. You might get lucky with the color. You probably won't.
The best first step isn't picking a tool. It's being honest about what's actually costing you time. Where are the bottlenecks? What's the task that keeps falling through the cracks because nobody has the bandwidth? What's the report you keep meaning to pull but never do? Start there. Work backward from the friction, not forward from the features.
When I sit down with a business owner and we skip the tool question entirely, the conversation changes. Instead of comparing platforms, we're talking about their actual operations. And almost every time, the thing AI can help with most isn't the thing they expected. It's not the flashy automation they read about. It's the quiet, repetitive work that's been eating hours for years because it never seemed important enough to fix.
The question behind the question is usually some mix of uncertainty and self-consciousness. People feel like they should already know this stuff. They don't want to look behind. And so instead of asking for help with the real thing, they ask about tools, because that feels like a question with a right answer.
There is no right answer on tools. There's only the right starting point. And that starting point is always the same: what's actually costing you time? Everything else is noise until that part is clear.
